// AI workflow automations · for CEOs and operators

Hire an AI workforce — without hiring anyone.

An AI workflow automation is a digital employee that reads, decides, and acts — 24 hours a day, at roughly the cost of a Netflix subscription. We design, build, and host them for Houston CEOs who'd rather scale with leverage than headcount.

// the leverage problem

Most of what your team does doesn't need to be done by a person.

If you're running a business doing $500K–$25M in revenue, here's what we see when we audit your operation: between 30% and 60% of every salaried hour goes into reading inboxes, categorizing requests, drafting replies, summarizing meetings, looking up answers, and chasing follow-ups.

Five years ago, automating that work was impossible because computers couldn't understand language. Today they can. That is the entire opportunity.

An AI workflow automation is the unit of leverage you use to claim it. One AI agent. One specific job. Running 24/7. Costing less than lunch.

// definition

What is an AI workflow automation, exactly?

An AI workflow automation is a multi-step business process where a large language model — GPT-4o, Claude, or similar — does the judgment work that used to require a person.

It's the next floor above "Zapier-style" automation. Zapier moves structured data. AI workflow automation reads unstructured input — emails, PDFs, voice transcripts, meeting notes — understands what's in them, and decides what to do next.

Traditional automation: if checkbox X is true, send email Y.

AI workflow automation: read this customer's email, decide if they're upset, draft a tone-matched reply, route urgent ones to the owner.

The shift isn't subtle. It's the difference between a calculator and an accountant.

// real examples

AI workflow automations we've built.

Tell us what you'd automate →

01

AI lead qualifier

New inbound lead → an AI agent reads their message, scores fit against your ideal customer profile, classifies intent, and routes hot leads to your phone in under 60 seconds. Cold leads get nurtured automatically. Used by: dental practice, B2B agency, custom home builder.

02

AI inbox triage agent

Every email landing in your shared inbox gets read by Claude → categorized (sales / support / vendor / spam) → priority-tagged → reply drafted into your draft folder. You scan and send. 4 hours of inbox time becomes 25 minutes.

03

AI meeting summarizer

Sales call recorded on Zoom → transcript + AI summary + extracted action items + CRM note → all in your pipeline before the next meeting starts. No more "wait, what did they actually say?"

04

AI proposal generator

Discovery call transcript + your service menu → AI drafts a complete proposal in your brand voice → routed to you for one final edit. 90-minute proposals become 10-minute approvals.

05

AI customer support agent

An always-on AI agent answers tier-1 support questions on your website, draws from your knowledge base, and gracefully hands off to a human when it doesn't know. Cuts support ticket volume 40–70%.

06

AI document review

New contract, invoice, or vendor agreement → Claude reads the full document → extracts terms, flags unusual clauses, summarizes risk into a one-page brief. Great for service businesses signing 5+ contracts a month.

07

AI review-response writer

New Google review (good or bad) → AI drafts a personalized, on-brand response in 15 seconds → owner approves or edits in one click. 100% response rate without 100% of the time investment.

08

AI knowledge base agent

Internal Slack channel where your team asks the AI questions about your SOPs, pricing, or past project work — and gets accurate answers pulled from your actual company docs. Like onboarding, but instant and permanent.

// the CEO math

One AI agent replaces a $60K/year task — for $60 a month.

If a salaried employee spends 15 hours a week on a repeatable task — reading email, summarizing calls, qualifying leads, drafting replies — that's roughly $30,000–$60,000 a year at fully-loaded cost. The AI agent that does the same work runs $60–$200/month all-in.

Cost-of-task / cost-of-AI ratio for inbox triage, lead qualification, and meeting summarization workflows we've deployed.

24/7

Coverage

Never sleeps, never takes PTO, never gets sick. The first lead at 11pm Saturday gets the same quality response as the first lead at 9am Monday.

2–3 wks

Time to Live

Most single-workflow AI automations are designed, built, tested, and in production within three weeks. You'll have ROI inside a quarter.

// why hire us specifically

We're not an "AI agency." We're operators who build AI agents.

A lot of agencies have rebranded as "AI consultants" in the last 18 months. Most of them are reselling ChatGPT subscriptions. We do something different.

We build on infrastructure you own

Workflows live on our n8n server in Houston. No per-task SaaS bill. No third-party platform that can change its pricing or get acquired. If we ever part ways, you take your workflows with you.

We pick the right model per task

GPT-4o for fast classification. Claude Opus for long-context document work. Smaller models for high-volume routing. Most "AI consultants" use one model for everything. That's how you burn $4,000/month on API calls that should cost $80.

We're builders, not theorists

Edward, FlameGrower's founder, has personally deployed AI workflow automations for dental practices, builders, agencies, retail, and B2B SaaS. We've made every mistake there is to make. You won't pay for our learning curve.

Your data stays your data

We use API tiers (OpenAI and Anthropic) that explicitly do not train on customer data. Your prompts, leads, customer messages, and operational logic stay inside your business.

We measure ROI, not output

Every AI workflow we deploy has a "before" and "after" metric attached to it. If the agent doesn't pay for itself inside 90 days, we restructure it — or we refund the engagement. That's in writing.

Houston-based, not offshore

You'll work directly with the person building your automations. No account-management layer, no time-zone tag. If you want to walk into our office on Westheimer, the door's open.

// the engagement

How a FlameGrower AI engagement actually works.

  1. Discovery call (free). 30 minutes. We map out the most expensive manual work in your operation and identify the 2–3 workflows that are AI-ready right now.
  2. Scoping doc + fixed quote. Within 48 hours of the call, you get a one-page scope, a deliverable list, and a fixed price. No retainers, no hourly billing.
  3. Build & test (1–3 weeks). We design the workflow, build it on n8n, integrate AI models, and shadow-test it against your real data with you in the loop.
  4. Go-live + 30 days of tuning. The agent goes into production. We monitor accuracy, tune the prompts, and ship adjustments as your team gives feedback.
  5. Monthly check-in. One call a month to review metrics, catch drift, and decide what to automate next. Cancel anytime with 30 days' notice.

AI workflow automations FAQ.

What is an AI workflow automation?
An AI workflow automation is a multi-step business process where a large language model — like OpenAI GPT-4o or Anthropic Claude — does the judgment work that used to require a human. The AI reads incoming data, decides what category it falls into, drafts the response, and hands it back to a system of record. Unlike traditional automation (Zapier-style if-this-then-that), AI workflow automations can read unstructured input — emails, documents, voice transcripts — and make context-aware decisions.
What is the difference between AI automation and traditional automation?
Traditional automation moves structured data between apps. AI automation reads unstructured data — free-text emails, PDFs, transcripts, voice notes — and makes judgment calls about what to do next. Traditional automation says "if checkbox X is true, send email Y." AI automation says "read this customer email, decide if they're frustrated, draft an appropriate reply, route urgent ones to the owner."
What does an AI workflow automation cost?
FlameGrower's entry tier starts at $499 setup + $59/month for hosting on our private n8n server. Multi-step AI agent builds — for example, an AI inbox triage agent, AI lead qualifier, or AI document reviewer — are scoped after a discovery call. Most production engagements land between $2,500 and $8,000 in setup with $59–$199/month in hosting and API costs.
Which AI models do you use — OpenAI, Claude, or something else?
All of the above. OpenAI (GPT-4o, GPT-4o-mini), Anthropic Claude (Opus, Sonnet, Haiku), and where appropriate, open-weight models hosted on our infrastructure. We pick the model per task — Claude for long-context document work, GPT-4o for fast classification and chat, smaller models for high-volume routing. Using one model for everything is how you accidentally spend $4,000/mo on API calls.
Will my data be used to train AI models?
No. We use the OpenAI and Anthropic API tiers that explicitly do not train on customer data. Your business logic and prompts live on our n8n server in Houston. Your leads, customer messages, and operational data are never used as training data.
How long does it take to deploy an AI workflow automation?
A single AI workflow (e.g., AI lead qualifier or AI inbox triage agent) typically takes 1–3 weeks from discovery to production. Multi-agent systems — where several specialized AI agents coordinate — take 3–8 weeks depending on integration complexity.
Can AI replace my sales team / customer service team?
Not yet, and not in the way most people fear. What it can do is take the most tedious 30–60% of their work off their plates so they spend their time on the high-value parts — building relationships, closing deals, solving real problems. AI augments the team. The teams that adopt this in 2026–2027 will quietly outpace the ones that don't.
What if the AI makes a mistake?
Every workflow we build has a human-in-the-loop checkpoint by default. The AI drafts; a human approves. As confidence in a specific workflow grows over weeks, we move it toward full autonomy with monitoring and escalation rules. We don't ship "the AI sends emails directly to customers from day one" engagements — that's how reputations get damaged.
Do you work with businesses outside Houston?
Yes. Roughly 40% of our clients are outside Houston. Our infrastructure and workflows are cloud-based, so geography doesn't change the engagement. We just lean Houston in our marketing because that's where Edward lives and runs HTown Handshakes.
